Abstract:In today's dynamic business environment, effective knowledge sharing is crucial for organizational success. A Dutch educational project-based organization recognizes the specific challenges of decentralized knowledge within projects and individuals, hindering efficient sharing among its consultants. This study focuses on identifying critical boundary conditions essential for designing a successful knowledge sharing tool tailored to project-based requirements. Using literature inquiry, document analysis, and semi-structured interviews, factors such as organizational culture, trust, communication, information systems, reward systems, and motivation are examined comprehensively. The investigation into boundary conditions has yielded significant insights, confirming the importance of these factors as highlighted in previous research. Existing tools like roundtable meetings, Microsoft Teams, project reports, and WhatsApp groups vary in effectiveness and fall short of meeting management’s expectations for knowledge sharing standards. The study emphasizes the crucial need for organizational commitment to enhance knowledge sharing practices. It underscores that face-to-face communication enhances trust and effectiveness in knowledge sharing efforts. Consultants emphasize proactive behavior, teamwork, and a culture of sharing mistakes, while challenges include time constraints and incomplete reports. To bridge theoretical standards with practical solutions, employee involvement in tool development is paramount. Junior consultants benefit from clear guidance, mediors require support for engagement and leadership development, and seniors play a key role in fostering a culture of knowledge sharing aligned with long-term organizational goals for sustained improvement and project success.
